3 ideas for managing weather hazards for an outdoor event. During an event, not everything can be under control. One factor (only one!) cannot be tamed on the big day: the weather. But the good news is that solutions exist to deal with downpours or sudden oppressive heat.
How do you plan a plan B for your event in case of bad weather?
During an event, not everything can be under control. One factor (only one!) cannot be tamed on the big day: the weather. But the good news is that there are solutions for dealing with sleet or sudden heat waves. Here are some explanations.
Opt for an adaptable structure
Some event tents offer the possibility of enjoying an outdoor cocktail party while being protected from the sun or rain. Waterproof and UV resistant, the Stretch tent is a good example. Particularly flexible, its canvas stretched over poles (made of eucalyptus wood or aluminium) allows several configurations. It is open to the outside, but the sides can be quickly folded down if the weather is bad. The guests are protected without changing the aesthetics of the place. Clever! The same goes for the aluminium deck structure. Made-to-measure and adaptable to your wishes as well as to the weather conditions thanks to a wide choice of covers (lycra sail, stretched crystal, etc.).
Securing equipment and access
Even if the equipment is in the event tent, choose a place that will not be exposed to the sun for too long. Computers, turntables, mixing desks and other technical equipment do not usually like UV light and overheating.
Similarly, any electricity supply installed outside the structure must be protected if you want to avoid a short-circuit or electrocution.
Another point to watch out for is access. Just imagine: a fancy cocktail party in the evening after a rainy day. If you have not provided a protected path to the event tent, guests may get dirty or even slip. This can spoil the festivities. Again, to avoid stress, opt for an aisle with a floor.
Think about the "extras".
If the choice of the structure that will host the cocktail guests is essential, don't forget your service providers. The caterer could find himself at a loss in a rainstorm if some of his preparation equipment is in the open air. The same goes for the musicians. Here too, to avoid any stress, plan a space. The Pagoda tent and its particularly flexible size offers a multitude of possibilities. It can be left open on all sides or closed depending on the weather.
There are still some smokers left. Make sure there is a covered and sufficiently ventilated area for them too! Finally, as long as you are thinking of small (and large) attentions, place umbrellas or parasols here and there for your guests. A few plaids on armchairs for the more chilly ones. And if you have serious doubts about the weather, make sure you can also install heaters.
Afraid to forget a detail? Rely on a good service provider who will be able to anticipate and respond to unforeseen events.
